The Power of the Guest Kit & Guest Tracker!
One of the most common questions Toastmasters clubs ask when they are looking to grow membership is simple: How do we turn more guests into members?
Many clubs work hard to attract visitors through social media, word of mouth and community promotion. But once a guest walks through the door, the process can sometimes become informal or inconsistent. Names might be written down on a scrap of paper, a follow-up email might be promised but forgotten, and the club may never know whether that guest intended to return.
This is where a simple system can make a significant difference.
In this session of the Club Marketing Webinar Series, we explored how two practical tools can help clubs manage the guest experience more effectively: the Guest Kit and the Guest Tracker. Both resources are available through The Club Up Project, which provides practical tools to help clubs strengthen their marketing and membership growth.
Why Guests Matter
Every guest who attends a Toastmasters meeting represents a warm lead.
Unlike cold marketing outreach, guests have already taken a meaningful step. They have researched the club, chosen to attend a meeting, and shown an interest in developing their communication or leadership skills.
However, the experience they have during and after that meeting plays a major role in determining whether they return.
If guests feel welcomed, informed and supported, they are far more likely to attend again and eventually become members. If the process feels confusing or inconsistent, even an otherwise enjoyable meeting may not translate into a membership application.
Clubs that grow consistently tend to manage the guest journey intentionally.
The Role of the Guest Kit
A Guest Kit is a simple but powerful way to help visitors understand the value of Toastmasters and the structure of the club.
Rather than relying on members to explain everything verbally, the Guest Kit provides clear information that guests can review during or after the meeting. This helps remove uncertainty and answers many of the questions that guests commonly have.
A typical Guest Kit may include:
Some clubs provide printed kits during the meeting, while others send a digital version by email after the meeting.
The key benefit is consistency. Every guest receives the same clear explanation of the club and the opportunity it provides. It also reinforces the professionalism of the club and shows that the guest experience has been thoughtfully designed.
The Challenge of Follow-Up
While providing information is important, the next step in the guest journey is just as critical: follow-up.
Many clubs unintentionally lose potential members because there is no structured process for tracking guest visits or enquiries.
Common challenges include:
Without a system, it becomes difficult for club officers to manage guest engagement effectively.
Introducing the Guest Tracker
This is where the Guest Tracker becomes invaluable.
A Guest Tracker is typically a shared spreadsheet used by club officers to record and monitor guest enquiries and visits. It creates a simple, transparent system for managing the guest pipeline.
The tracker usually records information such as:
This allows officers such as the Vice President Public Relations and Vice President Membership to clearly see where each guest is in the journey.
Instead of relying on memory, the club now has a structured record of every interaction.
Systemising the Guest Journey
When clubs combine a Guest Kit with a Guest Tracker, they create a simple but powerful system.
The Guest Kit ensures that every visitor receives clear information about the club. The Guest Tracker ensures that every guest receives thoughtful and timely follow-up.
Together, these tools help clubs move guests through a natural progression:
Guest enquiry → Meeting visit → Follow-up → Return visit → Membership
Systemising this process brings several benefits. It ensures no guest enquiries are lost, creates accountability for follow-up, and makes it easier for new officers to take over the role each year.
Perhaps most importantly, it allows clubs to focus on building relationships with guests rather than worrying about administrative details.
A Valuable Marketing Asset
Over time, the Guest Tracker also becomes a valuable marketing resource.
Clubs can use it to identify trends in where guests are coming from, understand which promotional activities are working best, and reconnect with previous visitors who may be interested in returning.
For example, past guests can be invited to special meetings, open houses or milestone events. Because their details have been recorded, the club can easily re-engage them.
In this way, the tracker becomes more than just a follow-up tool. It becomes part of the club’s long-term marketing strategy.

A Final Thought
Marketing doesn’t end when a guest walks through the door. In many ways, that is when the most important work begins.
By providing a clear welcome experience through a Guest Kit and managing follow-up through a Guest Tracker, clubs can ensure that every guest receives the attention and support they deserve.
Sometimes the most powerful marketing strategy is simply having the right systems in place.
